Ziyara does not connect to Nusuk or issue visas. It gets the data and files ready for whoever submits them — usually your Saudi operator — and keeps track of what came back.
Collect the documents
- At sign-up. Pilgrims can add their passport scan and photo on the group's sign-up page.
- Afterwards. On a pilgrim's row, Document Upload Link gives a private link you copy or send by WhatsApp. The pilgrim photographs each document with their phone; you see it on their profile. The link expires, and a new one can be made at any time.
- What is missing. The Missing Documents tab of the pilgrim list shows who still owes you something, and Send Reminders asks them for it.
If your agency has switched on Do not collect new passport scans under Agency Settings → Privacy and security, scans are not asked for anywhere; passport details are typed in or read with Read passport.
Prepare the visa files
Open the group and use Download. Only approved pilgrims are included.
- Visa sheet for your operator — the pilgrims in exactly the spreadsheet your operator uses. Describe that sheet once under Agency Settings → Visa export templates: the columns from left to right, their headings, the date format, how gender is written and whether names are in capital letters. After that, every group exports into it as Excel or CSV.
- Visa Preparation Data Pack (Excel) and Visa Preparation CSV — a fixed, full set of columns for when the operator has no template of its own.
- Download Approved Passports (ZIP) and Download Visa Photos (ZIP) — the files that go with the sheet.
Check the operator's current required fields before every submission. These files are a preparation aid, not a direct Nusuk import.
Track each visa
On the pilgrim, the Visa section holds the Visa Status, Visa Number, Visa type, the day the visa was issued and the issued e-visa as a PDF or scan. To update many pilgrims at once, select them in the list and choose Update Visa Status.
A single-entry Umrah visa has to be used within 30 days of the day it was issued. When you record the issue date, Ziyara works out the last day to enter and marks the pilgrim in red if that day falls before the group departs.
After the trip
The agency owner can remove what is no longer needed: on a group that has ended, the menu at the end of the action bar offers Delete trip documents. You tick what to delete and confirm. A file that another trip's record still uses is kept.
