Three things that happen on the ground: the buses, the people leading the group, and the items you hand out before departure.
Buses and transfers
Buses / Transfers has two tabs.
Drivers & Vehicles is your list of transport: the company, the driver and phone, the vehicle type, its plate and how many passengers it takes.
Transfer Schedule is each journey:
- Add transfer and choose the group, the type, where it goes from and to, the departure time and the vehicle.
- Open Passengers to give seats. Fill seats puts the group's pilgrims on the vehicle in one click; adjust by hand when the group travels on two buses.
- Download the Passenger list (PDF) for the driver and the guide.
A pilgrim who cancels gives their seat back automatically.
Guides
Guides are the people who lead your groups on the ground. Add each one with a name and phone numbers, including the number they use in Saudi Arabia, then choose the lead guide on the group.
The Guide Code (App Login) and App Password you set here are for the guide's mobile app; Generate QR Login shows a code the guide scans instead, valid for five minutes and usable once. They do not open this panel. To let someone work in the panel, invite them as a team member — see Team & Roles.
Inventory
Inventory Items tracks what you give to pilgrims: bags, ihram, badges, SIM cards.
- Add an item with its unit and the quantity in stock, and a Low Stock Alert level.
- When a group receives it, use Hand out to pilgrims, choose the group and the pilgrims, and the stock goes down by that number.
- Adjust Stock corrects quantities after a delivery or a count, and Stock Report prints the list.
If the inventory block is switched on in Configure Dashboard, the dashboard warns you when an item runs low.
