In October a man asked on WhatsApp what Ramadan would cost for five people. You answered within the hour, with prices. In January he booked — with another agency. He did not choose them over you. He never heard from you again, and they called.
Most Umrah agencies do not lose bookings to a better offer. They lose them in the weeks between the first question and the decision, when the conversation sinks under two hundred newer messages.
The short answer: an Umrah sale is slow. A family decides over weeks, often months, and usually after talking to someone they trust. The agency that wins is the one that still remembers the conversation when the family is ready. That takes five things: one list, a source, a next date, an honest status, and a registration link at the end.
Why an Umrah inquiry is not an ordinary lead
- It is rarely one person. The man who writes is asking for his parents, his wife, sometimes a brother's family. One inquiry can be five pilgrims or none.
- The decision takes time. Money has to be saved, leave arranged, passports renewed. Asking in October about a spring departure is normal.
- Trust weighs as much as price. People ask the imam, a neighbour who went last year, a cousin. What they hear about you between the first question and the deposit matters more than your second message.
- It comes back. A family that does not travel this year often does the next. An inquiry you kept is next season's first booking.
A general sales tool treats all of this as one deal with one contact. An Umrah CRM has to hold a household, a departure and a date to call back.
Five stages from inquiry to booking
1. Capture every inquiry in one list
WhatsApp, a phone call, a question after Friday prayer, a form on your website: write each one down in the same place on the same day, with four things — a name, a phone number, what they asked about, and where they came from. The source costs five seconds now and tells you after the season which channel actually filled the group (how to market an Umrah agency builds on it).
2. Answer with something they can keep
A price typed into a chat is gone by the next morning. Send an offer the family can forward and discuss: dates, hotels, a price per room type, what is included and what the deposit is. The Umrah quotation template is built for exactly this.
3. Qualify with five questions
- How many people, and who are they to each other?
- Which departure — fixed dates, or "sometime around Ramadan"?
- Which room type do they expect: a room for the family, or shared?
- Are the passports valid for six months beyond the trip?
- Who decides, and by when?
After these you know whether this is a booking for this departure, for a later one, or a polite question. All three are worth keeping; only the first belongs on this week's call list.
4. Follow up on a date, not on a feeling
Every open inquiry has one next date. When you send the offer, set it: two days later to ask whether it arrived and what the family thinks; then at each moment that gives you a real reason to write — registration opens, the early price ends, the last rooms of a type are going. A message with news in it is service. A message that only says "any decision?" is pressure.
5. Convert with a registration, not a promise
"We are coming, inshallah" is not a booking. A booking is a registration with passport details and a deposit. Send the family the registration link for that departure so they enter their own data, and count the inquiry as won only when the pilgrims are in the group (online booking and registration for Umrah groups covers that step).
When it does not happen, close it honestly: mark it lost, write one line on why — price, dates, went with someone else, postponed — and keep the contact for next season if they agreed to hear from you.
What each status should mean
| Status | It means | Your next step |
|---|---|---|
| New | Someone asked; nobody has answered properly yet | Answer today |
| Contacting | An offer is out and a follow-up date is set | Call on that date |
| Qualified | You know who, when, which rooms and who decides | Send the registration link |
| Converted | The pilgrims are registered in a group | Hand over to operations |
| Lost | Not this time, with the reason noted | Keep for next season |
If two colleagues would put the same family in different columns, the statuses are not doing their job. Agree on the meanings once and write them down.
Three numbers to look at after every season
- Inquiries per source. Mosque, WhatsApp, referrals, website, social media.
- How many of them registered. A channel that brings forty questions and two pilgrims is not your best channel.
- Why the lost ones were lost. If half say "dates", the answer is another departure, not a lower price.
You do not need more than that to decide where next season's effort goes.
Where Ziyara fits — and where it does not

In Ziyara inquiries live beside the groups they are about. Each one carries its source, a priority, the colleague responsible, the departure or package it concerns and a follow-up date, and the same list can be worked as a board with one column per status. A visitor to a group's registration page who is not ready to register can leave a question, which arrives as an inquiry for that departure. When the family decides, the inquiry is converted into a pilgrim in the group you choose, so nothing is typed twice.
What it does not do: Ziyara is not a WhatsApp inbox — it opens a chat with the person, it does not pull your conversations in. It does not send follow-ups by itself, and it does not produce a quotation document. If inquiries, quotes and ticketing are your whole business, a general travel CRM may suit you better; travel agency software vs Umrah software explains where that line runs, and the buyer's guide to Umrah & Hajj agency software has the full checklist. Frequently asked questions
What is an Umrah CRM?
A system that follows a person from the first question about a trip to a registered pilgrim in a group: who asked, about which departure, where they came from, what was offered, when to call again and how it ended.
Does a small Umrah agency need a CRM?
It needs the habit more than the software: one list, a source and a next date for every inquiry. A notebook does that for one departure a year. Once two people answer the phone, or you run several departures, a shared list stops inquiries being lost between you.
How quickly should we answer an Umrah inquiry?
The same day. The answer does not have to be a full offer — a reply that says when the offer will come, and then keeps that promise, is enough to stay in the conversation.
Can we keep inquiries in WhatsApp?
You can talk there; you should not store them there. A chat has no follow-up date and no status, it lives on one person's phone, and it cannot tell you which channel brought the pilgrims.
What should we do with inquiries that did not book?
Close them as lost with a reason, and keep the contact for the next season if the person agreed to hear from you. Many families who ask one year travel the next.
